General Administration Staff


Department(s) : General Management

Reports to : Chief Representative Officer/Country Manager


Job summary :

The primary functions of the job is to assist the representative office to carry out daily business functions and operation which also include coordination and interphase between representative office with home office, and external parties.


Summary of essential job responsibilities

The main responsibilities for the General Administration Staff are to:

* Maintain office systems, ordering and maintaining stationery and equipment supplies
* Liaise with support engineer and with external contacts and home office
* Prepare meeting’s agenda, notes, booking meeting rooms, arranging travel and accommodation
* Assist in company’s event such as organizing seminar event, etc.
* Organize and store paperwork, documents and computer-based information
* Build customer database and update contact routinely
* Maintain logs and records of attendance and leave of all personnel in the representative office
* Ensure fast response of enquiries from clients and other external parties

Minimum requirements

She must have 3 to 5 years hands on work experience in the same position and have good general knowledge about engineering companies operation. She must have good college or tertiary educational background with major in marketing or business administration.


Abilities required

The General Administration Staff must have the following abilities:

* Excellent communication skills; able to communicate with various level of people
* Must have good command of Bahasa Indonesia and English. Ability to understand other languages will be an advantage
* Good correspondence skills
* Good with computer and able to use various general office software such as MS Office suites.
* Well-organized with the ability to multi-task and able to work under pressure
